Job Summary


In addition, the role holder is responsible for putting in place an effective premises management program for bank’s commercial and residential properties.
General evaluation of lease and licenses, lease administration, lease negotiations, lease renewals and landlord management, audit STIG reporting and analysis of assessment reports and proposals.Job Description


Main Accountabilities


Accountability:


Business Management 40%



  • Supervision and co-ordination of all Landlord issues in the Kenya Network (ATMS, Branches, Directors’ Premises, Owned non-branch facilities).

  • Renewal of leases and lease administration.

  • Negotiate terms with the landlords to ensure optimal savings on rent.

  • Provide best practice advise to the business for the day to day management of their property portfolio


Acquisition of site as per business request by:



  • 1. Searching for  potential site

  • 2. Recommending sites to business

  • 3. Negotiating terms for space

  • 4. Seeking  business approval from in-country and Group levels where applicable

  • 5. Managing relationship during fit-out and occupancy

  • Responsible for optimization initiatives in line with CRES policy and guidelines.

  • Verify the update and correctness of the property details posted in the One-View


Accountability:


Customer Service 20%



  • Assist identify prime sites for the bank for acquisition.

  • Maintain constant engagement with the landlord, ensuring a favorable relationship with the landlords and customers

  • Attend to premises repair requests from Branch Network/Head Office Departments from time to time that require liaison with the landlords to ensure closure within SLA.

  • Ensure that all landlords have been screened before committing into contract

  • Support replacement/acquisition of bank titles

  • Ensure all lease renewal is done in time.

  • Prepare business cases for all lease events for acquisition, renewal and exit

  • Ensuring any complaints raised are closed within the SLA.

  • Ensuring that all activities and duties are carried out in full compliance with regulatory requirements, Enterprise Wide Risk Management Framework and internal Absa Policies and Policy Standards. Understand and manage risks and risk events (incidents) relevant to the role.

Knowledge of the bank’s products services and policies and or other specialist knowledge required to undertake the role:


– Clear understanding of Bank’s premises design guidelines, security requirements and Bank’s operational standards.


– Knowledge of procurement and sourcing of reliable service providers.


– In-depth understanding of Health and Safety regulations.


– Clear understanding of tendering procedures.


Other requirements specific to the role:


– Knowledge of property and Contract Law


– Knowledge of commercial leasing


– Knowledge of property market and current trends


– Knowledge of Local Authority Building Act and regulations


– Training in property management


– Computer Proficiency


EXTENSION FOR EVALUATION PURPOSES


Experience:



  • In commercial leasing Property management Preparation of technical/assessment  reports Tender opening, analyzing and preparation of reports. Preparation of cost estimates for various projects in the area of jurisdiction.


Mental Demands / Judgment and Initiative:



  • Job holder is expected to hold meetings with landlords and negotiate terms for lease renewal and acquisition by presenting a clear understanding of the current market rates

  • Job holder is expected to acquire sites whenever the business requests by engaging the respective consultants to ensure the best locations are acquired within the market rates

  • Job holder is required to have a high analytical skill


Communications:        


Staff in own areas 30%



  • Regular updates communication with Head of Department, landlord meetings, consultants meetings for site acquisition and lease renewals.

  • Continuous consultation with the HOD to ensure clear direction of the business needs


Internal customers 40%



  • Regular consultation with consumer/business to understand their need

  • Continuous update of the progress to the users, analyzing the terms and requesting for in-country approvals

  • Update and engagement with project team, security, HR, IT, SHE and legal to ensure site acquisition and subsequent project runs smoothly

  • Answering of queries from Branches and other Head Office departments


External Customers 30%



  • Preparation of business cases for Group approval

  • Regular consultations with the landlord to enhance a good relationship with the bank and resolve any issue before escalation

  • Constant engagement with the property market professional and property owners/agents to keep information on the market.

  • Site meetings to inspect properties with the respective stakeholders before acquisition and during handover to the project team to progress construction.

  • Continuous engagement with the landlord/representatives during construction and occupation to ensure smooth flow of work.


Effort and Environment:                                   



  • Job involves extensive travel across Kenya where ABSA’s Facilities Management has responsibilities and role holder needs to have ability to work for long hours and at the same time make independent decisions aimed at giving solutions to issues on the ground.

Further Education and Training Certificate (FETC): Business, Commerce and Management Studies (Required)
