Job Summary


Manage documents and contracts reconciliation



  • Minimum Qualification: Bachelor

Job Description



  1. Job Title: Administrative Assistant

  2. Reports to: Logistics Manager

  3. Location: Distribution Centre

  4. Purpose: The main purpose of the Administrative Assistant is to ensure the accuracy of all contracts data and the appropriate documentation and storage thereof.

  5. Job’s Responsibilities


·         Scanning Contracts and uploading them onto ERP


·         Physical storage of contracts through applying the best filing methods.


·         Carry out weekly contract reconciliation comparing systems records and physical documents.


·         Addressing weekly gaps in contract reconciliation.


·         Escalate when necessary the variance during reconciliation


·         Prepare weekly reports on contract reconciliation


6.Person specification


·         Have a university degree or Diploma in Library and Information Studies or relevant discipline (Business Administration, law, Human Resources, Commerce, Finance, accounting etc.).


·         Proven working experience in Legal Administration, Human Resources, or any other administrative work related departments.


·         Legal background is an added advantage but not necessary


·         Excellent command of the English language


 Desired skills include:


·         Be proficient with the Microsoft Office Suite.


·         Attention to detail


·         Advanced communication and interpersonal skills


·         Good Organization skills 


·         Up-to-date with latest trends and administrative best practices


·         Friendly and able to relate to a wide range of users


·         Ability to work under own initiative and think out of the box.
