CBM seeks to recruit a Programme Tracking and Reporting Officer who will ensure that projects implemented align to project design, budget, and timelines. The job holder is also responsible to provide accurate and reliable reports that depict the project’s status, activities, deliverables, and challenges, in collaboration with the country program teams. The position will be based at the CBM Africa East and South Regional Office in Nairobi.


Main Tasks


Project Management



  • Maintain the overall Project Tracker Database to ensure projects are implementing on time and per budget plan.

  • Ensure all projects have completed supporting documents and are being tracked and that these are properly uploaded in SharePoint

  • Consolidate and ensure project reports are complete with required data prior to upload for dissemination

  • Ensure projects meet donor reporting requirements

  • Ensure projects are documented, lesson learnt shared with related sectors and information is archived in the knowledge management system of the organization

  • Where needed, provide support to research during project baseline and final evaluation


Monitoring and Reporting



  • Coordinate with Country Office teams to ensure that projects have M&E plans and monitoring tools

  • Conduct monitoring visits to project sites to ensure quality implementation of projects

  • Coordinate the project reporting including Quarterly, Semi annual and Annual project report

  • Provide quarterly reports on alignment to programme quality to the line manager and Country Directors on a quarterly basis

  • Ensuring timely, high quality donor narrative and statistical reporting in the respective donor formats and systems

  • Develop a tracking system/method to track project implementation based on the agreed plan

  • Collects, organizes, and compiles field data into a series of reports that are distributed on a timely basis;

  • Monitors field project tracking sheets for accuracy and consistency of data

  • Assists in collecting field submissions for the Monthly, Quarterly and Annual Reports

  • Builds a strong relationship and works closely with the Country Programme Managers to ensure timely collection and validity of field data

  • Utilizes IT applications to extract and present relevant data elements, including MS Word, Excel and PowerPoint

  • Compile and submit agreed upon reports (narrative, statistics, financial, case studies,) as per reporting schedule and protocol


Administrative and organisational processes



  • Ensure the provision of current co-financing data for controlling (Navision, statistics) and CBM management

  • Support the country office and partner in improvement of project implementation quality (monitoring, reporting with tools relevant for CBM)


Capacity Building



  • Support identification of the capacity development needs at the partner and at the Country offices

  • Organise regular information sharing and training events for program staff on MEL processes in relation to donor requirements and compliance

  • Support adjustment on content of trainings according to the needs identified

  • Provide pro-active advice to ensure optimal program delivery and reporting in compliance to CBM’s policies and guidelines.

  • Support program team with analysis and interpretation of program monitoring data and produce reports and briefs to enable effective communication of program progress

  • Share analyses and trends with project team members to help synchronize project decision- making processes with MEL results

  • Promote research and best practice documentation at regional level

  • Promote monitoring & evaluation of projects including remote monitoring & coaching


Requirements



  • Relevant university degree in social sciences, project management business administration, or related field;

  • Professional experience of 5 years in a similar role;

  • Demonstrated competency in project management, monitoring, evaluation and reporting,

  • Advantage of lived experience with disability;

  • Ability to prioritize work and meet deadlines;

  • Good analytical and problem solving skills, and an eye for detail;

  • Mature, dependable self-starter who follows through on tasks;

  • Ability to communicate effectively at various levels in English (especially reading and writing) and good report writing skills;

  • Ability to work diplomatically and with sensitivity with individuals from a variety of cultures, professions and personal backgrounds;

  • Willingness to adhere and commit to CBM’s Code of conduct, CBM Values and Safeguarding Policy;

  • Understanding of disability inclusion and related legal frameworks and standards, especially with regards to disability inclusive development work;

  • Experience in mainstreaming gender, age and disability in programme cycle;

  • Flexibility to travel to the field as required
