Job Description
Key Responsibilities:
Direct Customer Care:
- Provide exceptional customer service to clients, addressing inquiries, and ensuring their needs are met promptly and professionally.
- Handle escalated client concerns or issues effectively and in a timely manner.
Team Supervision:
- Supervise and support a team of 4 customer care agents, an admin assistant, and an office cook, ensuring smooth day-to-day operations.
- Conduct regular performance evaluations, provide feedback, and facilitate training and development opportunities.
Patient Scheduling and Coordination:
- Coordinate patient scheduling with the clinical team, ensuring efficient utilization of resources and timely appointments.
- Onboard dental assistants and direct their work in accordance with clinic protocols and standards.
Operations Management:
- Plan, direct, and control all operational activities within the clinical department, ensuring compliance with regulatory requirements and quality standards.
- Generate reports on clinic operations, analyzing key performance metrics and identifying areas for improvement.
Administrative Support:
- Liaise with the Account, Marketing, and Procurement departments, providing administrative support and facilitating communication between departments.
- Assist in procurement activities, maintaining inventory levels, and ensuring timely delivery of supplies.
Qualifications:
- Bachelor’s degree in Healthcare Administration, Business Management, or a related experience.
- Minimum of 2 years of experience in a dental or medical clinic setting, with demonstrated knowledge of clinic operations and patient care.
- Strong leadership and interpersonal skills, with the ability to effectively manage and motivate a diverse team.
- Excellent communication and customer service skills, with a focus on building positive relationships with clients and colleagues.
- Proficiency in computer applications such as MS Office and experience with clinic management software is desirable.
- Ability to prioritize tasks, multitask effectively, and work well under pressure in a fast-paced environment.
