RFP: Interior Design Services


1. Background


Faith to Action Network mobilizes faith organizations’ support for family health and wellbeing.


As a global interfaith network of more than 100 Bahai, Buddhist, Christian, Confucian, Hindu, and Muslim faith organizations, we focus on issues that faith actors are grappling with, including sexual and reproductive health and family planning; gender equality and women’s rights; pluralism and understanding.


2. Background of the assignment


Faith to Action Network seeks to buy property located in Nairobi to host its growing staff numbers and desires to move to a modern office in the first half of 2020. As such, Faith to Action Network is seeking proposals from Professional Interior Design firms to provide interior design services for the new office space.


3. Scope of work


The scope of services is provided in Annex A, B and C and summarized below;



  • Conceptualize and design the interior of Faith to Action network based on the criteria and information provided by Faith to Action Network as per the Appendices

  • Develop and provide a visual presentation of the Faith to Action Network office space interior after initial consultations, needs analysis and site inspection.Develop a floor design based on the branding concept

  • Seeking quotations for furniture and materials required for Faith to Action Network’s deliberation and procurement process.

  • Lead and supervise the set-up and arrangement of the office including furniture. of the interior

  • Provide input into the Faith to Action Network office branding concept

  • Advice on suitable design and purchase of office furniture to suit the office plan/design and branding ideas

  • Advice on choice of colors and overall office upholstery based on the branding ideas in the branding concept.


4. Institutional arrangements


The consultancy firm will work under direct supervision of the person appointed by Faith to Action Network. Communication on the person appointed will be communicated to the consultancy firm before or together with the purchase order.


Faith to Action Network will be responsible for providing the consultancy firm with all necessary information related to the service in a timely and transparent manner.


Moreover, the consultancy firm is expected to consider that it will perform the needed services using its own property and technology and hold direct responsibility for the quality of delivered outputs.


Provisional approval of submitted works shall not exceed five working days from the notification of the completion of a specific milestone.


5. Confidentiality and Authorship


The title rights, copyrights, and all other rights of whatsoever nature for any material produced under this consultancy are the sole and exclusive property of Faith to Action Network.


The consultant will submit all materials to Faith to Action Network.


Therefore, all materials will not be disseminated in part or whole without express authority from Faith to Action Network.


The consultant shall not produce information in these materials in any form (electronic, hard copies, etc.) to a third party without a written permission from Faith to Action Network.


All information disclosed by Faith to Action Network under this contract is considered confidential.


The consultant firm agrees to;



  • Keep the Confidential Information secret and only use Confidential Information for the Purpose set out above and not for any other purpose.

  • Not treat the Confidential Information with any less care than it uses in relation to its own Confidential Information of a similar nature.

  • Do what it reasonably can to ensure the security of the Confidential Information.

  • Do not at any time allow or help a third party to use the Confidential Information for any purpose except as set out in this Agreement.

  • Only share the Confidential Information with those of its employees and/or professional advisers who need it to complete their jobs in connection with the Purpose set out above, and direct them to maintain the confidentiality of such information in accordance with this Agreement; and

  • Do not disclose the Confidential Information to any other third party.


The consultancy firm will disclose any conflicts of interests pursuant to potential purchase orders.


In particular, the consultant firm will disclose if it intends to provide similar services to another client on the same funding opportunities.


6. Reservation of Rights


This RFP is a solicitation for proposals only and is not intended as an offer to enter into a contract or as a promise to engage in any formal competitive bidding or negotiations.


Faith to Action Network may, at its sole discretion, accept or reject any or all proposals submitted in response to this RFP.


Faith to Action Network also may, in its sole discretion, make no award for this RFP or cancel this RFP in its entirety.


In addition, Faith to Action Network may, at its sole discretion, only elect to proceed with contract negotiations for some of the services included in the proposal.


Faith to Action Network further reserves its right to waive minor errors and omissions in proposals, request additional information or revisions to offers, and to negotiate with any or all Bidders.


Faith to Action Network shall not be liable for any costs incurred by the Bidder in connection with the preparation and submission of any proposal.


Faith to Action Network has the right to amend the RFP, in whole or in part, by written addendum, at any time. Faith to Action Network is responsible only for that which is expressly stated in the solicitation document and any authorized written addenda.


Such addendum shall be made available to each person or organization which Faith to Action Network records indicate has received this RFP. Should such addendum require additional information not previously requested, failure to address the requirements of such addendum may result in the proposal being found non-responsive and not being considered, as determined in the sole discretion of Faith to Action Network.


Faith to Action Network is not responsible for and shall not be bound by any representations otherwise made by any individual acting or purporting to act on its behalf. Faith to Action Network has the right to reissue the RFP at a future date


7. Minimum Qualifications



  • Valid business license

  • Registration with; Interior Designers Association of Kenya (IDAK) or any other related registration Body

  • At least 5 years of experience in similar exercise

  • At least 5 assignments in the office premise design

  • Minimum eligibility criteria for the team leader – BSc. Engineer/Architect from reputed engineering university

  • At least 5 years of experience in Internal decoration and civil engineering –

  • At least 3 similar working experience with international organization, private sector, UN agencies, reputed corporate offices, etc


8. Evaluation of Technical Proposal


The evaluation committee appointed by the Client shall evaluate the proposals on the basis of their responsiveness to the Terms of Reference, applying the evaluation criteria as follows



  • Specific experience of the consultant Related to the assignment (5-10)

  • Track records and sample of previous works done in the last 3 years

  • Adequacy of the proposed work plan and Methodology in responding to the terms Of reference (20-40)

  • Qualifications and competence of The key staff for the assignment (30-40)

  • Suitability to the transfer of Technology Programmed (Training) (0-10)
