Our client is well established in fast food manufacturing it also specializes in the manufacture of fruit drinks, sauces, spreads and mineral water.


 


They seek to hire a well-experienced and competent Human Resource Officer.


 


She/he will be tasked with developing and executing human resource strategy, policies, processes, and procedures in line with the business strategy in the areas of talent management, resourcing, organization culture and performance, employee relations & HR services, learning and development.


 


Key Responsibilities


 



  • Implementation of HR administrative functions in order to maintain sound industrial relations in the Company

  • Prepare employment contracts and job descriptions for new employees and update the same for existing employees as per details given by the HRM.

  • Maintain a suitable filing system and ensure that updated information is included daily.

  • Prepare certificate of service for all employees whose employment contracts are terminated promptly at the instruction of the HRM.

  • Ensure that all notices and bulletins emanating from Management are displayed conspicuously in provided notice boards and that employees have access to them in good time.

  • At the instruction of the HRM investigate and prepare reports on all matters involving employee grievances whether collective or individual.

  • Receive from all departments daily written comments on staff attendance, recruitment needed, absenteeism, sickness and accident and report to the HRM.

  • Process transfer, promotion and confirmation letters for employees as instructed by the HRM and distribute the same to the concerned employees.

  • Controlling, administering and authorizing in co-ordination with each departmental head staff annual leaves, sick offs, maternity leaves, and appropriate leave travel allowances is paid.

  • Update and maintain the personnel database, ensuring that the relevant data is captured properly and in time and regular taking of backups;

  • Handling disciplinary cases likely to lead to warnings, termination, dismissal and monitoring proper sequence of warnings and other disciplinary standards within the company to ensure consistency and conformity with the Employment Act.

  • Ensure a high sense of discipline by staff and ensuring company rules and regulations are adhered to.

  • Maintain positive liaison with relevant government agencies and departments and ensure the corporate image is sustained.

  • Ensure continuous NSSF, NHIF & PIN registration of new and unregistered employees.

  • Ensure all business and statutory licenses for the company are renewed appropriately and safely secured.

  • Ensure all Company property is insured at all times and any claims arising are well documented and followed up with the insurance company for speedy and expeditious settlement.

  • Investigating of accidents involving company motor vehicles as well as industrial accidents and taking remedial action and following up with the insurance for compensation

  • Assist in following up of workmen compensation claims and documentation with the Insurance Company, Company doctor and the Ministry of Labor making sure all support documents and statements are available for speedy and expeditious settlement of the Claims.

  • Ensuring the company motor vehicles are promptly and effectively maintained and coordinate drivers schedules and duties in liaison with sales department and operations manager.

  • Assist the operations manager in placement and effective utilization of the company fuel requirement.

  • Ensure the company security systems are operating effectively and efficiently and follow up with the operations manager on necessary improvement and controls.

  • Keep all company official records and files in a state of security and confidentiality.

  • Maintaining confidentiality of official matters at all times as required by the Company Policy and professional ethics.

  • Prepare and approve petty cash request for onward payment by the cashier

  • Assist in the development of corporate sales and marketing strategies with the sales department teams.

  • Coordinate management meetings and take minutes and circulate them accordingly

  • Carrying out any other activities at the instruction of the Managing Director.


 


Skills & Qualifications


 



  • Bachelor’s Degree in Human Resource Management or Business Administration.

  • At least 3years and above of work experience in a busy HR department

  • Prior experience in implementing HR policies and manpower planning

  • Excellent people management skills

  • Good communication and interpersonal skills

  • Must be accurate and thorough in the work

  • Self Driven and result Oriented

  • Honest in his/her dealings
