Job Description- AGRICULTURAL PROCUREMENT SPECIALIST

The pearl of Africa oil and nut company is a farming and trading company that deals with export of variety of agricultural products like macadamia nuts, avocado fruits, coffee, cocoa, soya beans, cotton, kidney beans, vanilla, black tea, honey and essential oils like lemon grass, palmarosa, eucalyptus and basil.

Purpose

The Procurement Officer pro-actively supports the activities of Pearl of Africa oil & Nut Company by organizing adequate acquisition of the commodities for international export through sourcing of the products within Uganda and East Africa. He/she is also the primary responsible for sourcing, product specification, quality control and standardization and takes care of clear communications about delivery lead times, quantities, frequency of purchase and negotiating payment/terms.

Typical Responsibilities – Key End Results of Position:

• Receives requests for goods (requisitions) and ensures their completeness/ compliance before they are processed;


• Does the ground work by meeting various farmers/suppliers with the product in demand from various parts of the country, assessing and selecting suppliers and sources products, documents specifications, prices, lead times and other terms and conditions and negotiates purchase for the products whilst ensuring quality is maintained


• Maintain transparency in supplier relationships, conduct quality checks on supplies, ensure good quality supply and identify gaps if any in quality and deliveries.


• Select, negotiate for best purchase package in terms of quality, price, deliveries and services with suppliers and choose best available supplier based on cost benefit analysis


• Advises the company about product description and specification, prices, lead times and availability, promoting standardization, value for money and economy of scale


• Collect quotations/pro-forma’s and routes purchase requisitions into purchase orders in close collaboration with the Finance Department


• Purchase collection/delivery of goods, including adequate record keeping (GRN) and the necessary updating of asset- and stock inventories;


• Prepares tender awards and contracts and submits them to the Finance Manager for approval and further endorsement;


• In coordination with the Department Heads, produces up-to-date overviews of outstanding requests regularly and upon request, including adequate information about expected delivery lead times


• Informs Department Head and requestors pro-actively about delays and other problems in the supply chain.


• Receives/collects invoices, arranges cash/cheques and withholding tax receipts with the Finance Department and makes payments when required;


• Settles all payments and/or cash advances with legal receipts on a daily


• Timely Communicate dealers about the status of any pending purchase


• Prepares purchase status and purchase reports and forward Finance

Qualifications

• Bachelor degree in Supply Chain/ Business Administration/logistics Management or related


• Minimum of 3 years relevant experiences in purchasing/procurement position in AGRICULTURAL PRODUCE


• Able to work with minimum


• Experience in purchase of agricultural produce


• Luganda and English language is mandatory;

**Starting of $500 net with a review after 3 months
