Job Description
Job Vacancy: Procurement Manager
Job Location: Kinangop, Kenya
Accountability / Reporting: The Procurement Manager reports to the Finance Director. The head of the department is the Finance Director.
Job Overall Purpose: Under the guidance of the Finance Director, the Procurement Manager is responsible for the effective delivery of procurement services to the company and ensuring the department is synchronized to meet the organizations needs
Knowledge, Skills and Experience Required
Qualifications: A degree in business administration/supply chain management, procurement or its equivalent
Experience: Minimum 5 years in a busy procurement environment
Skills & Knowledge:
1. Client handling & conflict resolution
2. Effective quotation sourcing
3. Excellent communication skills (interdepartmental and external)
4. Microsoft Office
5. Email etiquette
6. Extensive knowledge of procurement & purchasing principles
7. Leadership
8. Team organization
9. Critical thinking/analysis skills
10. Document preparation
Key Roles and Responsibilities
1. Manage stock levels and identify purchasing needs in coordination with the Assistant Purchasing Manager and procurement assistant and the stores department
2. Research potential vendors
3. Track orders and ensure timely delivery in coordination with the department
4. Ensure continuous update of internal databases with order details (dates, vendors, quantities, discounts etc)
5. Evaluate offers from vendors and submit proposals for final approval
6. Manage the administrative process throughout the duration of the preparation of the all documentation until the award of the work
7. Follow up with suppliers, as needed, to confirm or change orders
8. Liaise with warehouse staff to ensure all products arrive in good condition
9. Ensure all procurement related KPI’S, practices and policies are adhered to and compliance by the whole department
10. Researching pricing obtaining quotes locally on low value items and submit proposal for approval
11. Coordinate with requestors and make sure the right materials are needed. Find out the sample of material to be purchased if necessary
12. Strategic management of procurement activities in line with the company’s Strategic Plan
13. Perform other duties related field as assigned
