Job Description
Department: HUMAN RESOURCE & ADMINISTRATION
Position reports to: HUMAN RESOURCE & ADMINISTRATION MANAGER
Key Responsibilities and Accountabilities
1. Recruitment and Selection
- Posting job ads and organizing resumes and job applications
- Scheduling job interviews and recording successful candidates as well as sending a regret email to the unsuccessful candidates.
- Ensuring background and reference checks are completed, through confidential calls and emails sent to respective employers
- Preparing new employee files.
- Overseeing the completion of documentation process for onboarding staff
- Orienting new employees to the organization (setting up a designated log-in, workstation, email address, etc.)
- Administering new employment assessments.
2. Payroll and Benefits Administration
- Processing payroll, which includes all staff changes and advice accounts on any relevant information on deductions.
3. Record Maintenance
- Maintaining current HR files and databases
- Updating and maintaining employee benefits, employment status, and similar records
- Maintaining records related to grievances, performance reviews, and disciplinary actions.
- Performing file audits to ensure that all required employee documentation is collected and maintained.
- Ensuring closing of files for exited employees.
- Completing termination paperwork and assisting with exist interviews.
4. Employee relations
- Coordinate communication with candidates and schedule interviews
- Properly handle complaints by providing good customer service to employees
- Coordinate HR projects (meetings, training, surveys etc) and take minutes Maintaining calendars of HRM
- Deal with employee requests regarding human resources issues, rules, and regulations.
- Effective leave management.
5. Report Writing on JD areas.
Knowledge, Skills and Experience
- Degree in Business Administration/HR or a related field
- Higher Diploma in Human Resources
- At least 2 years’ experience
- Excellent knowledge of computer skills
- Hands-on experience with an HRIS or HRMS
