Job Description
Vacant Position: HR Assistant
Job Location: Nairobi
Salary Range: Kshs 35,000 – Kshs 50,000
Our client is in a leading company FMCG and is seeking to fill the position of HR Assistant.
They will be responsible for providing support in the various Human Resources and functions.
Recruitment and on boarding
- Recruitment process support (calling selected candidates, coordinating with recruitment agencies for Cvs, assisting in preparing interview packs/summaries.)
- Assist in shortlisting process.
- Staff on-boarding support: Coordinating staff induction, probation and confirmation (preparing orientation programs etc)
- Managing the intern recruitment (from sourcing of Cvs to organizing interviews to placement in sites).
HR Operations Support
- Assist in populating employees’ salaries and complying payout amount
- Employee separation processes (Following up on proper discharge process and company property handover
- Staff Medical scheme administration: additions, deletions, admissions etc.
- Organizing staff trainings (statutory: First AID etc)
- Coordinating of staff motivational activities like team buildings.
- Car scheme Insurance-Annual (organizing sticker issuance for staff cars)
- Provident Fund and Pension Scheme administration (New Applications & Exits through fund administrators)
- Filing and Records management (Staff personal files & Admin related documents).
- Leave computation/update (Updating on soft copy & filing signed forms)
- Preparing, monitoring and renewing of staff contracts
- Reviewing and updating HR policies
- Ensuring Filling of all statutory to avoid penalties.
- Workday support.
Admin & Facilities Support
- Filing & storage of customer contracts
- Sealing new contracts and other documents & storing in the safe.
- In Charge of Admin Petty Cash
- Birthday cake for staff born on that month.
- Coordinating office suppliers/Vendors i.e Food, stationery, maintenance, pest control etc.
- Renewal of business-related permits.
- Organizing and planning of social days/End Year parties by booking venues (Pre-covid)
- Prepare purchase order and purchase requisitions.
HR Audits
- Assist in provision of documents needed in the audit process
- Follow up on any issues identified.
Qualification and Experience
- Degree or a Diploma in Human Resource from a recognized institution.
- 5 years of experience in HR practice.
- Having worked in a company dealing with FMCG is an added advantage.
- Strong communication skills.
- Fluency with MS office and relevant HR software.
- General knowledge of HR practices and procedures
